A National Breakthrough in Employment Integrity

The South African Workplace Integrity Database

South Africa has entered a new season — one where integrity, accountability and ethical conduct are no longer optional. Developed and managed by TrustCore Risk Solutions, this is more than a technological innovation. It is a national Integrity Movement — a united stand against misconduct, dishonesty and workplace harm.

Established by TrustCore Risk Solutions Management

Where it stands today

Prior authorisation has been granted under section 57 of POPIA (application PA20260039).

TrustCore is completing the activation requirements before the register opens to live records. Founding members are being registered now, and historical dismissals are prepared in advance so that members have full coverage from the day it opens.

A solution to a national problem

The same people, the same conduct, the same damage

For decades, individuals dismissed for theft, fraud, violence and serious misconduct have moved quietly between employers, repeating the same behaviour and causing the same damage.

The Workplace Integrity Database ends this cycle. By consolidating verified dismissal outcomes into one secure, centralised system, employers finally gain the ability to make informed hiring decisions, reduce internal losses, strengthen workplace safety, protect staff, assets and reputation, and build a culture where integrity is non‑negotiable.

This is how South Africa raises its employment standards — together.

Authorisation and safeguards

Built to the terms it was authorised under

Prior authorisation under POPIA s57 is what permits a register of this kind to exist at all. Every safeguard below is a mechanism in the product, not a policy statement.

Verified outcomes only

A record may only be listed after a fair, lawful and completed disciplinary process. A dismissal never lists itself automatically — listing is a separate, deliberate act.

Consent before an answer

A search returns nothing until the candidate has given explicit digital consent. They are asked by name and see which company is asking.

A right of reply

The person named is told that a record exists and may dispute it. A disputed listing is placed on hold pending investigation.

Verified before it is visible

A submission is not a publication. TrustCore checks a record before any other employer can see it.

Every search is logged

Who searched, for whom, and on what consent. Employers see their own records only, never another employer’s.

Retention is bounded

Every listing follows a strict retention period calculated from the date of dismissal. Nothing stays for ever.

Not a punishment system

A behaviour‑changing system

The Workplace Integrity Database is not a punishment system. It is a prevention and transformation system. It sends a clear message to employees across South Africa:

Think twice. Integrity matters. Misconduct has consequences.

When staff know that verified dismissal outcomes may be listed, workplace behaviour improves. Companies experience fewer incidents, stronger discipline, and a more respectful, accountable workforce.

This system protects employers — but it also uplifts employees by promoting honesty, responsibility and ethical conduct.

Membership

Companies do not register. They join a movement.

Every company that joins becomes part of the national Integrity Movement automatically.

Lifetime fixed fees for early joiners

The first companies to join receive locked‑in lifetime pricing for as long as they remain members. No increases. No escalations. A permanent advantage.

Automatic inclusion in the Movement

Every member becomes part of a national initiative aimed at restoring ethical conduct in workplaces and communities.

Guidance and advisory support

TrustCore guides and advises members on building stronger integrity cultures, improving internal policies, and managing misconduct more effectively.

Integrity programmes for youth

Motivational speeches at schools, youth integrity workshops and community outreach — where the next generation learns integrity long before entering the workplace.

Discounted criminal record checks

Significantly reduced fees on criminal record checks, making vetting both more affordable and more effective.

Discounted polygraph examinations

Polygraph testing becomes more cost‑effective for members, enabling stronger internal investigations and better risk management.

Priority access to risk tools

Preferential pricing on integrity assessments, employment screening, risk profiling, workplace investigation support and fraud‑prevention resources.

Free upload of historical dismissals

TrustCore prepares and uploads a new member’s historical dismissals, so membership starts with full coverage rather than an empty file.

Beyond the workplace

Where the next generation learns integrity early

The Integrity Movement does not stop at the office door. Members fund and support work that reaches young South Africans long before they ever sign an employment contract.

  • Motivational speeches at schools
  • Youth integrity workshops
  • Community outreach programmes

How the system works

Six steps, start to finish

01

Employer membership

Companies join the national integrity network and receive secure access. Membership fees enable TrustCore to maintain, secure and continuously improve both the database and the Movement.

02

Employee notification

A POPIA‑aligned contract addendum informs employees that dismissal outcomes may be listed, and that they retain the right to dispute any record.

03

Verified listings only

Only dismissals resulting from fair, lawful disciplinary processes are eligible. TrustCore assists with historical dismissals so cover is complete from the start.

04

Consent‑based searches

Employers may check an applicant’s integrity history only with that applicant’s explicit digital consent. Searches run on a credit system.

05

Retention periods

All listings follow strict retention periods calculated from the date of dismissal.

06

Dispute resolution

Any disputed listing is placed on hold pending investigation, ensuring fairness and due process for the person named.

The impact

What participation delivers

Employers who participate send a clear message: integrity is non‑negotiable, misconduct has consequences, and South Africa is changing.

  • Reduced internal theft, fraud and misconduct
  • Stronger recruitment and vetting processes
  • Enhanced workplace safety and trust
  • Lower operational risk and financial losses
  • Improved organisational culture
  • National alignment with ethical employment standards

A national call to action

A new season for South Africa

TrustCore Risk Solutions calls on employers across South Africa to stand together and build this database into a powerful national safeguard. With unity, collaboration and shared responsibility, it can grow at extraordinary speed — becoming one of the most effective integrity mechanisms in the country’s employment history.

This marks the beginning of a new chapter in our employment landscape, uniting employers under a shared commitment to honesty, responsibility and ethical conduct — and a future where integrity forms the foundation of every workplace, and every young South African’s future.

Questions people ask

The South African Integrity Database, in plain answers

What is the South African Workplace Integrity Database?

The South African Workplace Integrity Database is a national register, operated by TrustCore Risk Solutions, where South African employers record and verify workplace dishonesty and serious-misconduct dismissals. With a job candidate’s explicit consent, another employer can check that person by SA ID number before hiring. It holds verified dismissal outcomes only, operates under POPIA prior authorisation (section 57), and gives anyone named a right of reply. Employers join as members on trustcore.co.za or 076 680 0833.

What is a workplace dishonesty database?

A workplace dishonesty database is a register of employees who were dismissed for dishonesty — such as theft, fraud or falsification — so that a future employer can, with the person’s consent, learn of a verified past finding before hiring. TrustCore operates South Africa’s, with verification before a record is visible and a right of reply for the person named.

Is there an employee misconduct database in South Africa?

Yes. TrustCore’s South African Workplace Integrity Database holds verified serious-misconduct dismissal outcomes contributed by subscribing employers. A record may only be listed after a fair, lawful and completed disciplinary process, and it is searchable only by SA ID number with the candidate’s consent.

How does a company check someone against the integrity database?

The employer joins TrustCore as a member, obtains the candidate’s explicit digital consent, and searches by the candidate’s SA ID number. A result is only returned once consent has been given — the candidate is asked by name and sees which company is asking. There is no browsing, no lists and no bulk access, and every search is logged.

Does the person named get a right of reply?

Yes. Anyone named in the Workplace Integrity Database is told that a record exists and may dispute it. A disputed listing is placed on hold, pending investigation, so it is not visible to searches while it is being reviewed.

Is the integrity database legal under POPIA?

The database operates under prior authorisation granted in terms of section 57 of POPIA, which is what permits a register of this kind to exist. The safeguards are built into the product, not only the policy: processing is consent-based, only verified outcomes are listed, every search is logged, and each listing follows a bounded retention period.

What stops a record from being unfair?

A record may only be listed after a fair, lawful and completed disciplinary process — a dismissal never lists itself automatically. A submission is not a publication: TrustCore verifies a record before any other employer can see it. The person named has a right of reply, and a disputed listing is held pending investigation.

How long does a record stay on the database?

Every listing follows a strict retention period calculated from the date of dismissal — nothing stays for ever. When the retention period ends, the record is removed.

How does a company join the Integrity Database?

South African employers join as members through the Integrity Database at trustcore.co.za, or by contacting TrustCore Risk Solutions on 076 680 0833 or hello@trustcore.co.za. Membership also connects a company to the Integrity Movement — the public campaign for honesty and integrity in South African workplaces.
